Document verification is where a selection is confirmed or lost. This guide explains what is checked, which certificate rules trip candidates up — the crucial date, the EWS financial year, the OBC creamy-layer test, the date of birth — and how to prepare so a post you have already earned is not lost on paper.
Clearing the exam makes you a selected candidate. Document verification decides whether you stay one. At this stage the recruiting body or the department checks the original of every claim you made in your application, and a claim you cannot support — or support only with the wrong certificate — can cost you the reservation you applied under, or the post itself.

What Is Checked
Document verification compares your originals against what you entered in the application. Expect to show:

Carry the originals and the number of self-attested copies the call letter asks for. The call letter, not a general list like this one, is what you must follow.
The Crucial Date — and What It Does Not Mean
Every notification fixes a crucial date — usually the closing date of applications — on which you must meet the conditions you claim. It is easy to read this as "my certificate must be dated before that day". For caste categories it is not. The Staff Selection Commission's notices say so in terms: the crucial date "does not mean that the date of certificate(s) should be before the closing date of application, it means that on the crucial date, the candidate(s) must fall under the categories" claimed.
So a caste certificate issued after the closing date is not, by that fact alone, a problem. What matters is that it shows you belonged to the category on the crucial date. Read your own notice: some recruiters fix the rule differently.
The EWS Certificate: the Strictest Rule
The Economically Weaker Sections certificate is the exception that catches people out, because it is tied to a financial year rather than to your status on a date.
- Eligibility is judged on gross annual family income below ₹8 lakh, from all sources, for the financial year before the year of application, together with an asset test.
- The Income and Asset Certificate must be valid for the financial year of application, issued on that previous year's income. SSC's 2026 notices, for example, ask for a certificate valid for 2026-27 issued on 2025-26 income.
- The Department of Personnel and Training treats a certificate issued after the crucial date and for a later financial year as a major discrepancy.
An EWS certificate from last year's cycle is the commonest single reason an EWS claim fails. Get the certificate for the right year, not just a valid-looking one.
The OBC Certificate: Format and the Creamy Layer
For a central government post, an OBC claim needs two things:
- Your caste must be on the Central list of OBCs, and the certificate must be in the central government format the notice prescribes. A certificate made for a state's own reservation may not serve.
- You must not fall in the creamy layer on the crucial date. The certificate states your non-creamy-layer status.
SSC says it will not insist on an OBC certificate issued within the crucial date, but the candidature of an OBC candidate stays provisional until the appointing authority verifies the claim. Disability Certificates
Reservation and relaxation for persons with disabilities need a benchmark disability — under the Rights of Persons with Disabilities Act, 2016, not less than 40% of a specified disability, certified by the designated authority. The certificate must also suit the post: posts are identified as suitable for particular categories of disability, and the notice says which.
Date of Birth and Name Problems
SSC accepts only the date of birth recorded in your matriculation certificate, and states that no later request to change it will be considered. If the date you entered in the application differs from the certificate, you have a problem no affidavit at verification can fix — check it before you submit.
A name that differs across certificates — a spelling, an added surname, a change after marriage — is a frequent cause of delay. Carry the supporting document your state accepts for a change of name, such as a gazette notification, and an explanation the officers can match against your certificates.
Qualifications: Held by the Closing Date
You must hold the essential qualification by the date the notice fixes, usually the closing date. A degree whose result was declared after that date does not count, even if you completed the course earlier. Your Selection Is Provisional Until Verified
Passing document verification does not end the checks. SSC notes that a category candidate's candidature remains provisional until the appointing authority verifies the documents, and DoPT requires an EWS appointment letter to state that the appointment ends if the certificate proves false. A claim that fails later verification can end an appointment that has already begun.
How to Prepare
- Check the notice's formats for category, disability and ex-servicemen certificates against what you hold, before you apply.
- Get an EWS certificate for the right financial year.
- Match your application to your matriculation certificate — name and date of birth exactly.
- Collect qualification proof showing the result date, not just the course dates.
- Keep a folder of originals and copies, and bring every document the call letter names.
Check your age on the notice's cut-off date with the age calculator before you apply, so the date-of-birth question never reaches verification.
Frequently Asked Questions
Does my caste certificate have to be issued before the closing date?
Not under SSC's rules: the crucial date means you must belong to the category on that date, not that the certificate must be dated before it. Other recruiters may set their own rule, so read the notification.
Which year's EWS certificate do I need?
One valid for the financial year of application, issued on the income of the previous financial year. A certificate from an earlier cycle, or one issued after the crucial date for a later year, can fail.
Will a state OBC certificate do for a central government job?
Only if your caste is on the Central OBC list and the certificate is in the central format the notice asks for. A state-format certificate for a caste not on the central list does not support a central reservation.
What if my date of birth in the application differs from my Class 10 certificate?
SSC accepts only the matriculation date of birth and does not consider later requests to change it. Correct the application in the correction window if you can; at verification it is usually too late.
Is passing document verification the final step?
No. Category claims can stay provisional until the appointing authority verifies them, and an appointment can be ended if a certificate later proves false.
